A private note is a message only your team can read. It lives right inside the customer’s chat, so context stays with the conversation.

How it works

You switch the message box from WhatsApp mode to note mode. What you write is saved in the chat but never sent to the customer. You can tag a teammate to alert them.

Add a note

1

Open the chat

Pick the conversation you want to leave a note on.
2

Switch to the note tab

Near the message box, change from the WhatsApp tab to the private note tab.
3

Write the note

Keep it short. Say what the issue is, what you tried, and what is left to do.
4

Tag a teammate

Type @ and choose their name. They get a notice about the note.
5

Send

The note appears in the chat for your team only.

A good handoff note

Customer paid twice for order 4821. Refund approved by Priya. Waiting on the bank, due Friday. Please confirm with the customer then.
That is enough for the next person to act without scrolling through the whole chat.
Double check that you are in note mode before you send. A message typed in WhatsApp mode goes to the customer.

Why use notes

  • No need to copy chats into email or another app.
  • Shift changes are smoother.
  • New teammates can read the history and the reasoning together.
